Though email is still a great communication tool, fax is better when it comes to document sharing. There are four primary reasons why.

First, while cybercriminals can easily use social engineering or fuzzing to breach your email account, online fax is more cyber secure. To steal your faxes, someone would need to breach both your device and your online faxing account.

Second, fax is more malware-proof than email. As people only fax close professional contacts, most fax users don’t open faxes from unknown numbers. Naturally, fax users are less likely to click malware links in faxes. It’s also more difficult to impersonate someone else’s fax number – so hackers are less likely to phish you through fax.

Third, online faxing services can transmit large files. While most email providers can only transmit documents up to 2 MB, online faxing providers like eFax can transmit documents up to 3 GB.

Finally, most online faxing services notify you when your recipient receives your fax, whereas email providers don’t.

While email is great for office memos, event invites and casual chats, it’s not the best medium for sending sensitive financial documents. As cybercriminals can use your email account to access your documents, bank details, and private information, many hackers target email accounts. And though some email providers offer cybersecurity measures like two-factor authentication and in-built anti-virus software, hackers can still breach email accounts using social engineering techniques like phishing and baiting. 

When you send a confidential financial document to someone, you don’t know how secure their email account is, and thus, you can’t guarantee your document’s security. 

Online faxing is the safer way to send sensitive financial documents. When you send a document through online faxing, your service provider encrypts it with Transport Layer Security (TLS), transmits it through protected servers and stores it in cloud-based storage. As a cybercriminal would need to breach your device and your online faxing system to steal the document, you have greater certainty that your document is secure.

Cloud faxing has three primary advantages. First, faxing through the cloud is more cyber secure than faxing through a fax machine, as cloud fax documents are encrypted and transported through protected servers. With a traditional fax machine, anyone with access to your machine can steal your faxes. 

Second, cloud faxing is cheaper and better for the environment, as you don’t need ink, paper, machine maintenance, a fax line and a fax machine for cloud faxing. Cloud faxing starts from just $169.50 a year, while it costs $1,259.76 annually to run the average fax machine.

Third, cloud faxing is a more efficient way for businesses to handle documents. You need to file and sort documents manually with a fax machine – an annoying administrative task that takes time and storage space. When you send a fax through cloud faxing, your faxing provider will store it automatically in the cloud. This means no storage or filing (and you can access your fax from any device!).
